Everstone Surface Solutions Inc. (“Everstone,” “we,” “us,” “our”) operates https://www.everstonesurface.com (the “Site”) and provides surface restoration, sealing, and protection services for concrete, pavers, natural stone, brick, and exterior hardscapes throughout Southwest Washington and the Portland metropolitan area. This Privacy Policy explains what information we collect when you visit the Site, request an estimate, call or text us, or otherwise communicate with us, and how we use it.

1. Information We Collect

Information you provide directly. When you fill out an estimate request or contact form, call us, text us, schedule a site visit, or email us, we may collect:

• Name, phone number, email address, company name, and property address
• Details about your project (surface type, square footage, current condition, staining or organic growth, photos you upload, prior sealing or maintenance history)
• For commercial, HOA, and property management inquiries: your role, the properties you manage, and preferred service scheduling
• Any other information you include in messages to us

Information collected automatically. When you visit the Site, we and our service providers automatically collect:

• IP address, browser type, device type, and operating system
• Pages visited, time on page, referring URL, and click activity
• Cookie identifiers and similar tracking technologies (described in Section 3)

Call tracking and recording. We use call tracking technology (CallRail) to measure which advertising campaigns generate phone calls. Calls to numbers on this Site or in our ads may be recorded for quality assurance and training. You will be notified at the start of any recorded call and may decline recording and continue the call.

2. How We Use Your Information

We use the information we collect to:

• Respond to estimate requests and schedule site visits, assessments, and jobs
• Provide, invoice, and warranty our restoration, sealing, and surface protection services
• Administer multi-year Scheduled Maintenance Programs and schedule recurring maintenance visits
• Communicate with you about your project by phone, email, or text
• Measure and improve the performance of our website and advertising
• Send service reminders, reseal reminders, or promotional messages where you have consented
• Comply with legal obligations, including insurance and tax requirements
• Detect and prevent fraud or abuse

3. Cookies, Google Ads, and Analytics

We use cookies and similar technologies for site functionality, analytics, and advertising.

Google Analytics. We use Google Analytics to understand how visitors use the Site. Google Analytics collects usage data through cookies. Google Ads and Google Local Services Ads. We advertise through Google Ads and Google Local Services Ads. Lead form data. If you submit your information through a lead form in a Google ad (rather than on this Site), Google shares that information with us so we can contact you about your request. Google’s handling of that data is governed by Google’s Privacy Policy.

Other advertising platforms. We may also use conversion tracking or remarketing tags from Meta (Facebook and Instagram) and Microsoft Advertising. Each platform provides its own opt-out controls.

4. Text Messaging (SMS)

If you provide your mobile number and consent to receive text messages, we may text you appointment confirmations, scheduling updates, estimates, and, only where you have separately opted in, promotional offers and maintenance reminders. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help. Consent to receive texts is not a condition of purchasing any services.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except with vendors and service providers acting on our behalf solely to deliver the messages.

5. How We Share Information

We do not sell your personal information. We share it only with:

• Service providers who help us operate the business, such as our CRM, estimating and scheduling software, call tracking provider, payment processor, email/SMS platform, and website host, each bound to use your information only to provide services to us
• Advertising and analytics partners as described in Section 3
• Subcontractors and suppliers when needed to complete your project
• Property managers, HOA boards, or building owners where you have engaged us through them or asked us to coordinate with them
• Financing partners, only if you apply for financing through us
• Legal and safety recipients when required by law, subpoena, or to protect our rights, property, or safety

If our business is sold or merged, customer information may transfer to the new owner under this same policy.

6. Data Retention and Security

We retain customer and project records for as long as needed to service warranties and meet legal, insurance, and tax requirements:

• Project files — including assessments, photographs, and work records — for 10 years after project completion
• Contact and billing records for 7 years
• Estimate requests that do not become projects for 2 years

Website analytics data is retained per each platform’s settings. We use commercially reasonable safeguards (SSL encryption, access controls, reputable hosting) to protect your information, but no method of transmission or storage is completely secure.

7. Your Privacy Rights

Regardless of whether a state privacy statute applies to a business of our size, we honor the following requests from any customer or Site visitor: the right to know what personal information we hold about you, to request a copy, to request correction or deletion, and to opt out of targeted advertising.

Oregon residents. Oregon residents have rights under the Oregon Consumer Privacy Act (ORS 646A.570 et seq.). We extend the rights described above to Oregon residents on request.

The Site is intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
